Who this policy applies to

This Privacy Policy describes how Maviontech Pvt. Ltd. (“Maviontech,” “we,” “us,” or “our”) handles personal information when you use MavionMeet, visit mavionmeet.com, join a meeting as a guest, or interact with our related support and communications.

When an organisation provides your access, that organisation may control its workspace and meeting content. Its own privacy notices and policies may also apply.

Information we collect

We collect only information needed to provide, secure, and improve the service. The information depends on how you use MavionMeet.

Account information

Name, email address, profile details, authentication information, preferences, and organisation membership.

Meeting information

Meeting titles, schedules, participants, invitations, chat messages, reactions, transcripts, recordings, and minutes when those features are used.

Tasks and collaboration

Tasks, lists, comments, attachments, reminders, chat content, and activity history you create in the service.

Guest information

Display name, optional email, meeting access state, and limited connection information needed to operate and protect guest access.

Technical information

IP address, browser and device details, logs, timestamps, cookie identifiers, diagnostics, and security events.

Information from integrations

Information you authorise identity providers, calendar services, or connected tools to share with us.

How we use information

We use personal information to:

  • Provide video meetings, chat, scheduling, tasks, reminders, recordings, transcripts, and meeting minutes.
  • Create and secure accounts, authenticate users, admit guests, and prevent misuse.
  • Send service messages such as invitations, verification emails, reminders, and security notices.
  • Maintain reliability, diagnose errors, understand feature performance, and improve accessibility and usability.
  • Comply with law, enforce our agreements, and protect users, Maviontech, and the public.

Where applicable, we rely on performance of our contract, legitimate interests in operating and securing the service, consent, and compliance with legal obligations.

Important

Meetings, recordings, transcripts & AI

A meeting organiser may enable recording or transcription. MavionMeet displays in-product controls or indicators when these features are active. Participants should also follow any local notice or consent requirements that apply to them.

When AI-powered minutes are requested, relevant transcript and meeting context may be sent to an AI service provider to generate summaries, decisions, risks, and action items. AI output can be inaccurate and should be reviewed before it is relied upon or shared.

Before sharing sensitive information: confirm who is in the meeting, whether recording or transcription is enabled, and who will have access to the resulting content.

How we share information

We do not sell your personal information. We may disclose it only as needed in these circumstances:

  • Other participants and workspace members. Information you share in meetings, chats, tasks, and profiles is visible to people authorised for those spaces.
  • Service providers. Hosting, real-time media, email delivery, authentication, error monitoring, storage, and AI providers process information for us under contractual safeguards.
  • Connected services. We share information with integrations or webhooks you or your organisation choose to enable.
  • Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, respond to valid process, or protect rights and safety.
  • Business changes. Information may transfer as part of a merger, financing, acquisition, reorganisation, or sale of assets, subject to appropriate protections.

How long we keep information

We retain information only for as long as necessary for the purposes described in this policy, including legal, accounting, security, and dispute-resolution needs.

Workspace settings or contractual arrangements may change some retention periods. Other account and collaboration data generally remains until deleted, the account is closed, or it is no longer needed.

How we protect information

We use administrative, technical, and organisational safeguards designed to protect personal information. These include encrypted transport, secure and HTTP-only cookies, access controls, credential hashing, field-level encryption for selected secrets, token expiry, rate limits, audit records, and restricted meeting access.

No online system is completely secure. Please use a strong, unique password, protect meeting links and API keys, and contact us promptly if you believe your account or information has been compromised.

Your rights & choices

Depending on where you live, you may have the right to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. You may also have the right to complain to your local data-protection authority.

You can update many profile and preference details in Settings. For other requests, email us from the address associated with your account. We may need to verify your identity, and some information may be retained where required by law or for legitimate security purposes.

Cookies & local storage

We use essential cookies and browser storage to keep you signed in, protect forms, remember interface preferences, support guest meeting access, and maintain service security. These technologies are necessary for features you request.

We do not use third-party advertising cookies or build advertising profiles from your meeting activity. You can configure your browser to block cookies, but essential parts of MavionMeet may then stop working.

International data transfers

Maviontech and its service providers may process information in countries other than the one where you live. Where required, we use recognised transfer safeguards and require providers to protect information consistently with applicable law.

Children’s privacy

MavionMeet is designed for professional and organisational use and is not directed to children under 13. If a higher minimum age applies where you live, that higher age applies. If you believe a child has provided personal information without appropriate authorisation, please contact us so we can investigate and take appropriate action.

Changes to this policy

We may update this policy as our service, practices, or legal obligations change. We will post the revised version here and update the “Last updated” date. If a change materially affects your rights, we will provide additional notice where appropriate.
